Vranken-Pommery Monopole is a family group founded in 1976. The number two player in Champagne, its portfolio includes the major brand VRANKEN and its Diamant and Demoiselle vintages, POMMERY and its Cuvées Louise and POP, CHARLES LAFITTE and HEIDSIECK & CO MONOPOLY. The company has three main business lines: vineyards, champagne, porto and rosé winemaking, and their distribution and marketing. To improve file sharing security with their providers in each department, the group adopted Oodrive’s iExtranet Corporate solution.

A need to optimise document sharing to give the departments greater autonomy

The sharing of digital files is now inevitable but combines the problems of document size and security. The sharing of images, data sheets, reports, photographs, specifications, products or posters is a difficulty that slows down smooth project execution with internal and external stakeholders. The Vranken-Pommery Monopole group dealt with these problems in several of its departments. The marketing department, and especially the on-trade department, needed a quick solution to meet the expectations of their suppliers.

With the iExtranet Corporate, online file sharing solution specifically for professionals, the Vranken sales force can share large files securely. In fact, the company can set up logins and passwords depending on the recipients to ensure full confidentiality for the documents. Employees manage access rights to the document and the storage space themselves, which gives the departments greater autonomy. In addition, each department (marketing, on-trade, off-trade, export, etc.) has a platform manager and can add an unlimited number of users.

Because the iExtranet Corporate solution offers individual management of the users, a different manager for each department, real autonomy of the departments and a limit on storage space rather than the number of users, Vranken-Pommery Monopole chose Oodrive. “We could not afford to have a solution that limits the number of users since we have many different suppliers, whether sales representatives, advertising agencies or clients. This flexibility was decisive in our choice,” says Sandrine Warnier, head of E-Marketing at Vranken-Pommery Monopole.

The iExtranet solution—simplicity and speed of use

Since February 3, 2011, the solution has enabled the Vranken group to free the IT department from the creation and management of access, but also to empower employees through more professional exchanges with different contacts, suppliers, customers, and sales representatives.

“One of the main advantages of the solution is its mobile application. We can use it from an iPad, iPhone or BlackBerry, with access to the latest updates, the latest file versions and the latest rates, in real time!” emphasised Sandrine Warnier.

“On the iPad, for example, all documentation is sent through iExtranet, rather than having to send large files by email. And, a notification is sent to our suppliers once we have uploaded files online for them,” she adds.

The solution simplifies exchanges with providers. For example, sales representatives get a daily summary of their exchanges to manage their time more effectively, which is very convenient. In addition, the solution offers different volume capacities for sharing and online collaboration that adapt to best suit the needs of the moment.

“Service integration happened rather quickly for our company. The managers were trained beforehand and the iExtranet solution was seamlessly deployed in the departments. The business approach and the Oodrive customer relationship were all the more attractive, and Oodrive is a loyal partner,” she says.
