However, in a pandemic, with sharply reduced physical contact between people, simply getting signatures on a document, such as a form, mandate, contract, agreement, etc. is a challenge in itself. You have to print the document, send it by mail, wait for a reply that is slow in coming… The time needed to gather all the signatures gets longer, documents get lost, and it becomes nearly impossible to keep track of all the queries and requests. Not to mention filing all the documents, which is costly and a lot of work.

Initially, OXITIA was trying to find a way to meet the needs of one of its clients, an asset manager. The process of gathering all the necessary signatures was cumbersome: some documents could be up to 30 pages long, and each page had to be initialled in addition to the signature at the end. Each file contained a lot of documents. The time needed to send out documents in the mail and await their return was long, out of their control, and resulted in documents getting lost. Furthermore, filing and storing all those documents was a whole other challenge: the client had an entire room filled with filing cabinets. The added complications brought about by the pandemic only made matters worse.

For Benjamin Larroque, that was the last straw. “From our point of view, it was clearly high time that we switch to electronic signatures. We knew the software existed, but our clients did not yet feel the need to adopt it. But then, with the pandemic, the stars aligned for a full-scale trial.”
