Solutions offered

At OXITIA, electronic signatures have become a business driver

Based near Toulouse, OXITIA handles digitisation and cybersecurity projects for its clients (companies and municipalities). OXITIA proposes innovative solutions based on two business models: first, a turnkey subscription package, and second, a made-to-measure support service. The in-house team of four experts is backed up by a pool of independent partners, each recognised in their respective field of specialisation.

For OXITIA’s clients, responsiveness and security are the pillars of successful business relationships. Discussions with prospective and existing clients must be instantaneous, agile, and secure. However, in a pandemic, with sharply reduced physical contact between people, simply getting signatures on a document, such as a form, mandate, contract, agreement, etc. is a challenge in itself. You have to print the document, send it by mail, wait for a reply that is slow in coming… The time needed to gather all the signatures gets longer, documents get lost, and it becomes nearly impossible to keep track of all the queries and requests. Not to mention filing all the documents, which is costly and a lot of work.

This is what prompted OXITIA to look for a software product that would enable electronic signing of documents and set it up for its clients. The goal? To optimise business processes, save time, reduce costs, and increase security, all while reinforcing their CSR approach. That is precisely what Oodrive Sign offers its users.

“Oodrive Sign is an application that helps our clients sign documents digitally, with no printing. In addition to making the whole process faster, this tool reduces the need for hard copies and optimises filing. It is better in every way!”
Benjamin Larroque ,
CEO and founder of OXITIA

Optimised business processes

Initially, OXITIA was trying to find a way to meet the needs of one of its clients, an asset manager. The process of gathering all the necessary signatures was cumbersome: some documents could be up to 30 pages long, and each page had to be initialled in addition to the signature at the end. Each file contained a lot of documents. The time needed to send out documents in the mail and await their return was long, out of their control, and resulted in documents getting lost. Furthermore, filing and storing all those documents was a whole other challenge: the client had an entire room filled with filing cabinets. The added complications brought about by the pandemic only made matters worse.

For Benjamin Larroque, that was the last straw. “From our point of view, it was clearly high time that we switch to electronic signatures. We knew the software existed, but our clients did not yet feel the need to adopt it. But then, with the pandemic, the stars aligned for a full-scale trial.”

There were no objections among the staff at OXITIA. On the contrary, the team was fully committed to successfully making the switch. They quickly established benchmark specifications for the purpose of comparing the various electronic signature products on the market. They needed a product that would be easy to set up and use, requiring minimal configuration, scalable to adapt to changing business needs, and of course, one that ensured a high level of security.

“Oodrive Sign emerged as the clear favourite, since it ticked all the right boxes,” explained Benjamin Larroque. “We presented the software and its various features to our client, pointing out all the advantages, particularly when it comes to convenience and security. It only took them an instant to give us the green light.”

For a digital services company like OXITIA, the Oodrive Sign electronic signatures software has the advantage of having been developed in a rich and comprehensive ecosystem. As a result, the software is compliant and secure in terms of data processing, optimised for business processes, and can be used collaboratively and on mobile devices. Furthermore, the software is straightforward to set up and get started with. All the user has to do is “drag and drop”, and it makes it easy to keep track of requests and queries.

Quick to set up

When OXITIA first reached out to Oodrive, that quickly led to a demonstration. Oodrive then wrote up a cost estimate for their prospective client. From the initial presentation of the software to going live with it in day-to-day business took less than two months. That extremely rapid set-up enabled OXITIA to meet their client’s needs as quickly as possible, while the Oodrive Customer Success team monitored the roll-out to make sure everything went smoothly. During that set-up period, training workshops were organised for the employees to make sure they understood all the features, especially the “Smartfields”, which are the centrepiece of the software.

The experience was very positive and quickly yielded results. We started using it just three months ago, and already almost 50% of new contracts are signed remotely. Most of the team members have adopted the software and now use it every day, and our client satisfaction rate is 100%. At the same time, we have undertaken a campaign to convert all our existing documents to digital format. So far, we have got through 20% of our contracts.

Convincing results

And the advantages of this software do not end there. Oodrive Sign has not only made it possible to make processes paperless, but also to improve them. “Our client has noticed a considerable reduction in the time they spend dealing with printed documents. There are fewer papers to manage, less clutter, and all the documents are stored digitally in the software,” explained Benjamin Larroque. “With the automatically filled-in templates, it takes just a couple of minutes to prepare a document and send it for signature. As for queries and requests, there is a very intuitive dashboard that lets you keep track of their progress step by step.”

In the end, setting up this electronic signature software for OXITIA and their client sped up the flow of signed documents, allowed the teams to keep track of queries and their progress, simplified their procedures… Not only that, but it also reduced the company’s carbon footprint, in line with its CSR approach.

For Benjamin Larroque, the experience has been more than conclusive. “Oodrive Sign has exceeded our expectations. The simplicity of setting it up, the quick learning curve for the end-users, its easy configuration, and its well thought-out business model make it a must-have. Now our objective is to get more skilled with the software so we can propose it to our other clients. Ultimately, we hope to roll it out generally and make it available to as many people as possible!”
