The Paris Bar Association has nearly 35,000 lawyers, representing almost half of all lawyers in France. It is chaired by the President of the Paris Bar, whose role is to represent lawyers, ensure ethical standards are upheld, and promote the activities of the Bar Association. The President heads the Bar Council, which is made up of 42 elected lawyers.

The sensitive nature of the data that lawyers work with and the number of stakeholders involved—clients, colleagues, magistrates, and other legal professionals—made it necessary to find a storage and sharing solution that was both secure and easy to use.

The challenge: Managing a large volume of confidential exchanges

The Paris Bar Association faced a major challenge: effectively managing a considerable volume of particularly sensitive exchanges and documents within the firm, with its clients, or in the context of large trials or with numerous parties involved (lawyers, courts, clerks, advisors, etc.).

Traditional methods such as mass emailing or the use of free file transfer services had significant limitations, particularly in terms of security, territoriality, data volume management, and GDPR compliance.

The Paris Bar Association needed to be able to provide all the necessary guarantees for the security and confidentiality of their exchanges and those of their stakeholders, while simplifying document management. The organization therefore opted for a French solution that was reliable and compliant with the strictest standards, based on the references of the ANSSI (French National Cybersecurity Agency).

“The arrival of the GDPR led me to look for a solution that was both French, for territorial reasons, and validated by ANSSI through its SecNumCloud label. Of the solutions we looked at, only Oodrive met these requirements,” explains Christophe Bacoup, CIO.

The choice of security, simplicity, and sovereignty

Among the criteria considered by the IT department, the SecNumCloud certification that Oodrive obtained in 2019 and has renewed with each audit reinforced the Paris Bar Association’s confidence in Oodrive’s solutions. Recommended by the Paris Bar Association and its IT department, Oodrive Work proved its worth during the management of a trial involving nearly 400 participants, and the success of this implementation convinced everyone of its reliability and efficiency, as Héléna Christidis explains:

For the Bar Council, the aim of using Oodrive solutions was to digitize and exchange the content used during meetings in a simple and secure manner.

Immediate adoption of Oodrive Work and Oodrive Meet

As with any software transition, the Oodrive teams carried out significant educational and change management work with lawyers, magistrates, and clerks. Users quickly saw the benefits of Oodrive in terms of security, efficiency, and regulatory compliance. The Outlook plugin and mobile applications were particularly appreciated. Oodrive’s solutions, customized with the Paris Bar Association’s colors, were also quickly integrated into the daily lives of lawyers, exceeding initial expectations. Elected officials were quickly convinced of the need to use Oodrive’s solutions, and the Bar Council now uses Oodrive Meet to organize all its meetings.

“Oodrive Work provides an all-in-one space for certain committees and the Bar Council, eliminating dozens of email exchanges for a single meeting,” adds Héléna Christidis.

The Paris Bar Association has received excellent feedback from lawyers and magistrates, who have embraced it far beyond expectations by creating genuine communities for sharing.

According to Helena, what sets Oodrive apart is its collaborative sharing feature, which is very intuitive and allows different rights to be assigned to people who have access to a shared folder. This also prevents files from being deleted or moved by mistake.

Currently, around 250 members of the Bar (clerks, duty lawyers), as well as 120 lawyers, use Oodrive Work to collaborate in contexts such as major trials, criminal duty services, and for transferring documents with clients within law firms. More than 100 members now use Oodrive Meet for the secure and paperless organization of committees and councils.
