The Belgian Red Cross becomes more responsive and efficient thanks to an online resource management tool

Created in 1894, the Belgian Red Cross is the oldest incarnation of the In-ternational Red Cross, which includes 190 national companies and close to 97 million volunteers. This public interest company is a benchmark in humanitarian action. Its 1,000 employees wage a constant battle against crises, provide assistance to the vulnerable and ease suffering in emer-gency situations.

In this area, communication is vital: it involves the use of visuals, inclu-ding photos and videos. Managing such media in co-operation with local branches is one of the roles attributed to Manon Vomberg, Manage-ment Assistant in charge of audiovisual projects at the Belgian Red Cross. “Audiovisual content enables us to concretely show the impact of our on-site missions, be they local social actions or emergency interven-tions, and to make their meaning clear to the general public. Therefore, such content is at the heart of our communication strategy”. As a result, it is essential to have a powerful, responsive and easy-access tool for our users at the local level.

With the implementation of Oodrive Media, Manon Vomberg and her team benefit from an ergonomic, practical and intuitive solution. Thanks to pooling and indexing resources, access to relevant media is simpler and faster than ever. Rationalising visual resource management

The activities of the Belgian Red Cross mainly take place in the field, where local volunteers take photos that they then transfer to the communications department. “As these ac-tions have a strong visual dimension, we use these images to show what is going on in the field”, explains Manon Vomberg. “But, most of the time, the photos are taken with smartphones : between quality issues and the lack of copyright, we are never certain that we can use them, particularly as it is difficult to trace where they come from.” Another issue relative to the processing of audiovisual pro-ducts by the communications department or by external providers : it is true they are of high quality, related to one-off campaigns or news events, but they must be shared efficiently with our users.

“The need to switch to a new solution for ma-naging digital resources is nothing new, but it took us time to take the plunge. Up to now, we were in the habit of storing the media on our internal servers and we then distributed them using the Google “album” feature. As sharing options are limited, there was absolutely no collaborative dimension, and even the simplest search turned into a nightmare!”

We started our search for a new solution at the end of 2020. Very quickly, the Oodrive solution clearly had the edge: its features ticked all the boxes regarding the specifications defined by Manon Vomberg. Resources are pooled, which enables rationalisation of the management of some 2 To of resources (the result of two de-cades of careful archiving), and accelerates distribution. Indexation and search features have been optimised: media can now be found, transferred and processed much more easily and much faster.

Indeed, the ergonomics of Oodrive Media were designed to ensure ease of use – a ma-jor challenge for the Belgian Red Cross and its thousands of collaborators spread out all over the region.

Simplified initiation for an efficient tool

Implementation of Oodrive Media took just a few months, even though it took more than a year and a half for the project to be finalised: unforeseen cir-cumstances meant we had to put off negotiation and implementation stages several times. Despite these hurdles, the commercial support, and then the CSM service, made the difference for the communications team. And that also covers training of administrators in the use of the tool.

Regarding end users, they took to the tool like ducks to water! “We have had nothing but positive feedback: everyone can find the resource they need in the blink of an eye. This simplicity of access is also what won us over to Oodrive Media”. And which, today, facilitates initiation in the tool… despite a slight drawback: reduced mobility compatibility, making it a bit more com-plicated to share photos from smartphones and necessitating the use of a computer. A drawback specific to Digital Asset Management tools, which be-long, in essence, to the desktop publishing ecosystem.

Overall, the solution was extremely well received throughout our organisa-tion. “Personally, my favourite feature is the keyword search: I save a huge amount of time. Now, for example, to meet an image request on a specific activity, it only takes 10 minutes to find them and transmit them!”
